Duties and Responsibilities

Campus Reception and Switchboard Duties:

  • Organised Front Office Environment: Ensures the front office is meticulously organized with orderly systems, cleanliness, and a professional ambiance that reflects the institution’s ethos.
  • Welcoming Visitors: Extends a warm welcome to prospective and current students, parents, and guests, guiding them appropriately to ensure a positive initial experience.
  • Building Relationships: Cultivates relationships with students and parents through courteous and professional interactions, fostering a supportive and inclusive campus environment.
  • Switchboard Operation: Manages the switchboard efficiently by promptly and professionally handling incoming calls. Gathers pertinent information to accurately direct calls to the appropriate staff members.
  • Message Management: Takes detailed messages when staff members are unavailable and ensures timely delivery to intended recipients.
  • Student Queries: Addresses queries from students and directs them to relevant departments or individuals, ensuring prompt resolution of their needs.
  • Intercom Assistance: Facilitates effective campus-wide communication by assisting with intercom instructions as needed.
  • Reception Area Maintenance: Maintains reception flyers and informational materials in an organized manner. Collaborates with Marketing Assistants to ensure waiting areas and interview rooms are clean and presentable.

General Administrative Support and Ad Hoc Duties:

  • Administrative Support: Provides assistance to various departments, ensuring smooth campus operations.
  • Equipment Management: Tracks all remotes and microphones used in lecture rooms, maintaining accurate records and ensuring their timely return in good condition.
  • Courier and Deliveries: Prepares, tracks, and receives campus courier parcels, posts, and deliveries. Communicates promptly with relevant staff regarding collection or delivery updates.
  • National Office Deliveries: Receives deliveries intended for the National office (campus-specific) and campus staff, ensuring timely distribution to the appropriate recipients.
  • Appointment Scheduling: Supports Marketing Assistants in scheduling appointments for the Full-Time Student Recruitment team. Manages their schedules as required.
  • Event Support: Assists in organizing campus events and fulfilling ad hoc duties, contributing to the successful execution of campus activities.

Competencies Required

  • Advanced Verbal Communication: Demonstrates excellent verbal communication skills essential for effective interaction with students, parents, and colleagues.
  • Switchboard Management: Proficiently operates a switchboard, ensuring efficient call handling and communication management.

  • Reliable Transportation: Must possess reliable transportation to ensure punctuality and attendance.
  • Flexible Hours: Ability to work flexible hours and weekends as required to accommodate the operational needs of the campus.

Core Working Hours

Hours are allocated weekly based on campus operational requirements:

  • Monday to Friday: 10:30 – 19:30
  • Friday: 12:00 – 14:00
  • Saturday: 07:00 – 13:00
